Background

Who are we?

The Portfolio Collective (TPC) was set up by Ben Legg (former COO of Google Europe) in July 2020 with our COO Fiona Chorlton-Voong. It is forecast that half of all professionals globally will be portfolio professionals by 2030, so they launched TPC with the mission of helping professionals understand, launch, manage and grow successful portfolio careers.

We are now a team of 12 (+ 30 fractional community members) who are passionate about building the world’s leading community for portfolio professionals. In our first four years, we’ve scaled rapidly, with key achievements including:

  • Attracted over 400,000 unique visitors to our website
  • Conducted 400+ events 
  • Built a professional networking platform with over 11,000 diverse, high-calibre members

  • Sustained revenue growth of ~50% per quarter since Q1 2023

Job description

Scope

We are looking to bring in an Event Planner on a project basis to lead the planning, organisation and delivery of our in-person summer event. 

Purpose

To enable TPC to deliver an interesting and useful event within budget and on time (aiming to host the event middle to end of September 2024), furthering a sense of community for our members and offering an additional benefit to the wider community.

Main Activities/Responsibilities

Planning (circa end of June to beginning of July 2024):

  • Create a project plan, budget and list of key actions.
  • Research and present options for venues, vendors, partners and sponsors.

Organising (circa beginning of July to mid September 2024):

  • Design an event experience with a detailed agenda and floor plan.
  • Confirm and manage relations with all relevant suppliers, speakers and stakeholders.
  • Source, manage and liaise with vendors, partners and sponsors.
  • Coordinate with the Marketing Team to ensure a timely marketing plan.

Delivering (circa mid to end of September 2024):

  • Open and close the venue.
  • Be the point of contact on the day of the event delivery.
  • Coordinate team and volunteers to facilitate the smooth running of the event.
  • Gather feedback and follow-up with suppliers and stakeholders.
  • Create a document of recommendations for future events.

Person specification

Knowledge

  • The events scene in London, including a strong network of venues, suppliers, potential sponsors etc.
  • Understanding of TPC’s purpose and offer including 'future of work' trends

Skills

  • A creative mind and a flair for entertainment to create exciting events
  • Excellent organisational skills and the ability to prioritise tasks
  • The ability to perform well under pressure and remain calm in crisis situations
  • The ability to multitask, as the job often requires dealing with multiple parties and tasks concurrently
  • Attention to detail to ensure that every aspect of an event is perfect
  • Strong problem-solving skills and the ability to think on their feet when unexpected events occur
  • Strong negotiation skills to effectively deal with suppliers and contractors
  • Excellent interpersonal skills, as the job constantly involves working with people

Experience

  • Proven track record organising events
  • Liaising and negotiating with sponsors including handling of commercial contracts
  • Delivery of day long events in central London
